As you probably noticed in our recent Canvas announcement, there's a major change to Kaltura MyMedia coming this Spring 2022. UW-System will share the date this goes into effect as soon as possible.
What’s changing?
MyMedia will no longer store items indefinitely. Audio and video items that go unplayed for two or more years after their last-played date will be disabled and then eventually deleted.
- My Media items that have gone unplayed for two years will be disabled.
- My Media items that have gone unplayed for four years will be permanently deleted.
This applies to all current and future items stored in My Media. For example, items created before January 2018 that have not been played in the last four years will be deleted when this policy goes into effect.
Please take action now to save your important MyMedia items.
What do I need to do?
Please play each item you’d like to save for at least 10 seconds.
What happens if My Media items are not played?
Items that aren’t played at least once every two years will be disabled (and then eventually deleted) automatically. My Media items are considered played if they’re played for at least 10 seconds by anyone, including the item’s owner, students, or another instructor.
If your items older than two years can safely be deleted, no action is necessary, and they will be automatically disabled and then deleted after four years from their last play.
How do I store items that need to be retained long term?
Play items you need to keep at least once a year for 10 seconds. For example, if your course doesn’t run every term, you may still need to play all the My Media items used in that course more frequently.
How do I confirm when a My Media item was last played?
To check if a My Media item was played during the last year:
- Visit the item’s Analytics page.
- Select Last 12 Months in the “Date Range” dropdown selector.
Please keep in mind items that you own but are only used in other instructors’ courses or departmental trainings. They may need to be played to be retained.
How do I backup and store items that won’t be played regularly?
Go to your My Media page in Mediaspace and download a local copy of the item to your computer. From there, you can backup the file as needed.

Why is this Happening?
Our license with Kaltura supports the My Media tool in Canvas. This license allows us to store and stream regularly played videos indefinitely, but it’s not intended for long term storage of unplayed video or audio items.
To ensure UW System institutions comply with this contract, an automated process is going into effect in 2022 that will automatically delete Kaltura videos that are unplayed by any user for four years. Items count as played when they’re played for at least 10 seconds.
