Collection Development -
Ordering Procedures
As stated in the Collection Development Policy
the Technical Services Librarian has primary responsibility for
collection development and acquisitions funds. Selection for the
general collection is done by the Technical Services Librarian.
The Technical Services Librarian will review and consult with
the faculty on selection of books, journals, and audiovisual
materials, including electronic books and journals. Selection of
materials for reference and government documents is the
responsibility of the Reference Librarian. The University
Archivist is responsible for the selection of materials for the
archival collections, including the Lake Superior Maritime
Collection. The Library faculty and reference librarians review
and select electronic resources, particularly online databases.
The Acquisitions Librarian is responsible for
the ordering of materials.
A. To assist with the selection of books,
the Acquisitions Librarian orders and makes available the Choice
review cards and maintains password access to the Choice Online
Reviews.
B. General collection materials and print reference
orders must be received on printed order cards or Choice cards.
a. Faculty recommendations must be signed
by the faculty member and the department chair, if required.
b. Order cards for the general collection will be
reviewed and initialed by the Technical Services Librarian and
given to the Acquisitions Librarian for ordering.
c. Order cards for the reference and purchased government
documents will be given by the Reference Librarian to the
Acquisitions Librarian for ordering.
C. Document depository items may be
ordered directly by the Reference Librarian.
D. Archival materials may be ordered directly by the
University Archivist.
E. Requests for electronic books,
including NetLibrary, and electronic journals will be given to
the Acquisitions Librarian to order.
F. Due to the expense, electronic
resources require more detailed procedures:
a. As requested, trials for online
databases will be established by the Technical Services
Librarian. The Technical Services Librarian will contact the
Librarian responsible for the Library’s web page to add access
to the trial for users. Reference librarians will contact the
appropriate faculty for input and feedback. The Technical
Services Librarian will work with the Acquisitions Librarian to
determine the cost of the database via the appropriate vendor.
b. Upon review and selection of databases by the
Reference librarians, the Technical Services Librarian will
contact the Acquisition Librarian who will place the order. This
step is essential since the Technical Services Librarian needs
to monitor the Acquisitions budget. The Technical Services
Librarian will also secure the necessary passwords to collect
database usage statistics.
c. All renewals will be addressed to the Acquisitions
Librarian. When renewals notices are received the Acquisitions
Librarian will contact the Technical Services Librarian. The
Technical Services Librarian will compile the appropriate
statistics. The cost and statistical information will be shared
with the Reference Librarians so that a renewal decision can be
made. As with new subscriptions/licenses, the Technical Services
Librarian will inform the Acquisitions Librarian of the renewal.
The Acquisitions Librarian will place the order.
